Review Planning Checklist

Review Planning Checklist

Use the following checklist to help you plan for your reviews.

Document Objectives

q     List the objectives from the documentation plan that you need to validate through your review.

q     Review product specifications from the client or sponsor for objectives.

q     List management or policy objectives your document must meet.

Stage of the Document Process

q     User analysis review:  Review user descriptions and scenarios for use in tutorials and as user role models.

q     Technical walkthrough:  Review the accuracy of the procedures and resolve any questions about the functionality of the program.

q     Design review:  Review or walkthrough design principles for the documents.

q     Draft review: Review complete drafts of documents as they are completed.

Type of Review Needed

q     Managerial review (managers, supervisors, team leaders).

q     User review (users, operators, system supervisors).

q     Technical review (programmers, developers).

q     Subject matter review (professionals from representative fields).

q     Editorial review (staff editors, editorial department, team editor).

q     Sponsor review (client, sponsor).

q     Identify any special issues to address or problems encountered with any of the above reviews.

Cover Letter with Questions for the Reviewers

q     Indicate document objectives and benefits to the reviewer (increased quality, increased communication, increased visibility as team players).

q     Ask for specific advice and comments.

q     Tell reviewers how to mark or comment.

q     Give dates and places for return.

q     Thank your reviewers.

Set Up a Review Schedule

q     Sequential circulation (one copy:  each reviewer passes the document to the next person or you pass the same document to each person in turn).

q     Simultaneous circulation (multiple copies:  each reviewer returns the document to you).

Feedback Materials for Reviewers

q     Clean copies of documents showing revisions with specific pages indicated (smaller projects).

q     Copies of pages containing revisions stapled to copies of pages with reviewer’s marks (larger projects).

User Walkthrough Planning Checklist

Use the following checklist to help you plan for your user walkthroughs.

q     Decide on the issues you want to examine.

q     Choose the attendees.

q     Write an agenda for the meeting.

q     Conduct the walkthrough.

q     Do a follow-up review.
